Job Description
- Information management and document control: Develop, review and maintain secure and readily available the necessary and appropriate information, documents and records
- Continuous improvement: Develop a culture in the workforce to improve operating performance through defect identification, measurement and elimination
- Performance review: Use the results of assessments and audits, as well as inputs from other internal learning activities, to periodically review the continued adequacy and appropriateness of the existing local OMS and drive systematic improvements
- Discover how Documentum obtain its input and devise intercept into Chirag Cabinet Folder
- Maintain a central project filing system for both technical and non-technical information
- Circulate, distribute, control and monitor of all incoming LOFIM project-related documents (from functions, company contractors, vendors, third parties) submitted in electronic and/or hard copy and outgoing technical documentation in accordance with prescribed matrices within agreed timescales
- Be responsible for the prompt indexing, filing, and distribution of documentation to and from the system
- Drive deletion of project based filing system (from previous projects) and clean-up within controlled area. Remove of duplicate, obsolete and incorrectly entered Data/Documentation and be natural support to AGT Region Technical Information Clean-Up Project
- Archive equivalent or superseded data
- Provide Engineering/Operations members with current information in a prompt manner using the tools available. Act as a focal point for distribution of project documentation
- Carry out periodic audits of data entry to ensure integrity of data in Documentum. Locate and resolve data input errors and anomalies
- Review of register(s) and update & combine if/where necessary
- Support Project Eng. to issue and distribute LoFIMP Action & Response Sheets to the relevant TA(s) for their review & approval and place them in Documentum
- Establish and maintain a leave cycle/holiday rota for project including LoFIMP team members plus relevant Function TLs and their delegates for LOFIM Project
- Comply with all company policies
- Comply with HSSE standards, procedures & practices applicable to the role
Skills & Experience
- Good knowledge of technical information management systems & processes
- Good knowledge and competencies in relational databases
- Good communication and interpersonal skills
- Advanced proficiency MS Word, Excel, Power Point, Access, Acrobat
- Ability to work both in a team environment & to work under own initiative
- Interfacing with other departments
- Attention to detail; ability to organize
- Experience on assisting a Project Team/Office
- Understanding of document control needs and associated administrative planning for project
- Experience of clerical support in busy environment
Azerbaijan local national salary and terms apply.
This is a contract position.
The rate for this position is negotiable.
