They are currently recruiting for the position of Document Controller, based in Kuala Lumpur.

Job Description

  • To coordinate, monitor and control the movement, filing and archiving of all technical documents with the objective of ensuring compliance to the company's project procedures
  • To coordinate the receipt, distribution and tracking of design drawings in order to facilitate the smooth running of projects in compliance with project procedures.
  • To track Design Change Requests (DCR), Document Review Forms (DRF), and Requests for Information (RFI) and "As Built" drawings in order to ensure all such requests are resolved.
  • To prepare various weekly and monthly reports in order to highlight status to Engineering Manager.
  • Maintain a whole and complete control copy of project documents including drawings and details and all other fundamental project documentation.
  • To maintain and project documents hard as well as soft copies of all drawings in order to comply with Leighton's standards on project documentation.
  • Maintain a product library for all material samples and product data sheets.
  • Maintain a library of all Subcontractor Company profiles, and prequalification questionnaires.
  • Register and store for the duration of the project all un-awarded subcontractor and supplier tender submissions.
  • Upon completion of the project and in conjunction with the project and commercial departments properly archive project documents as instructed.
  • Other duties as directed.

Skills & Experience

  • Diploma in a related discipline.
  • Considerable relevant working experience
  • Ability to work independently and liaise with all levels of staff and management, and ability to work under tight schedules.
  • Strong communication and interpersonal skills.
  • Proficient in Ms Office.
  • Experience working in offshore industry.
  • Relevant document control experience in construction environment

    Reporting functionally to the Information Management Lead, the Document Controller will be responsible for the overall control of all company documents in the Exploration and Production (E&P) business unit. The role involves managing and controlling the numbering, filing, sorting and retrieval of electronically stored or hard copy documentation produced by technical teams, projects or departments in a timely, accurate and efficient manner. The purpose of the role is to ensure that best practices are used in document control and delivery to create organisation, efficiency and consistency for the business unit. KEY RESPONSIBILITIES • Manage the numbering / checking / validation / verification of all documentation, including correct numbering, revisions, status, format, title and legibility • Establish and maintain the document management processes and associated systems on a project. Monitor performance, ensuring compliance with contract and corporate requirements • Work with internal teams to develop efficient document management policies and processes • Review all 3rd party developed documentation to ensure it meets internal business unit and company practices • Working with the Information Management Lead, ensure accuracy on all production released documentation.
